FlockPulse ("FlockPulse", "we", "us") is a livestock management platform operated by [Operator legal name] (registration number [number]), of [physical address], South Africa. This policy explains what personal information we collect, why, and what your rights are. We process personal information in line with the Protection of Personal Information Act, 2013 (POPIA) and, where it applies to you, the EU/UK General Data Protection Regulation (GDPR).

1. Who this policy covers

  • Visitors to flockpulse.app, including people who send us an enquiry through the homepage form.
  • Users of the FlockPulse application: account owners, managers and general users invited onto an account.

If you use FlockPulse through an account owned by a farming business, that business is the responsible party for the livestock and farm records it keeps, and we process those records on its behalf. This policy still applies to the personal information we hold about you as a user.

2. What we collect

When you send an enquiry (homepage form): your name, surname, e-mail address, phone number, country and area, the description of your farming business you give us, the pricing tier and billing option you were interested in, the language and currency you were viewing, the date and time, your IP address and browser type.

When you have a user account: your name, surname, e-mail address, language preference, your role on each account you belong to, your notification preferences, and a record of when you log in.

Farm and livestock records entered into the application by you or your colleagues: farms, camps, animals, treatments, weights, movements, rainfall, tasks, notes, photos and attachments. These belong to the account that entered them. They may incidentally contain personal information (for example, the name of a buyer or a note mentioning a colleague).

Technical information: server logs (IP address, browser, pages requested, timestamps), an audit log of actions taken in the application (who did what, when, from which address) kept for accountability and security, and a revision history of changes to farm records so disputes can be resolved.

We do not collect payment card details on this website. If and when billing is introduced, payments will be handled by a payment provider under its own terms, and this policy will be updated.

We do not sell personal information, and we do not use it for third-party advertising.

4. Who we share it with

  • Google Analytics (Google LLC), which measures how the website and application are used. Its data may be processed outside South Africa.
  • Hosting and infrastructure providers that run our servers and store backups, under contracts that require them to protect your information.
  • E-mail delivery providers used to send notifications and replies.
  • A content delivery network used to serve uploaded photos and attachments quickly. Files are served through expiring signed links.
  • Other users of your account. Managers on an account can see the records and notes on that account; account owners can see who did what through the audit log.
  • Authorities, if we are legally required to, or to protect the rights, property or safety of FlockPulse, our users or others.

Some providers may store information outside South Africa. Where they do, we only use providers that offer a level of protection substantially similar to POPIA, as the Act requires.

5. How long we keep it

  • Live demo: the demo farm you can open from the homepage is shared by all visitors. Anything entered there can be seen by other visitors and is deleted automatically every two hours, so please don't enter real personal information.
  • Enquiries: until you ask us to delete them, or three years after the last contact, whichever comes first.
  • User accounts: for as long as the account is active, and for up to twelve months after it is closed so it can be reactivated on request.
  • Farm and livestock records: for as long as the account exists. When an account is disabled the records are kept so that its history remains available, unless the account owner asks us to delete them.
  • Audit logs: retained for the life of the account for accountability.
  • Revision history of farm records is kept for two years.
  • Server logs: up to ninety days.

6. Security

FlockPulse is served over HTTPS. Passwords are stored hashed, never in plain text. Uploaded files are stored privately and served through expiring links. Access to production systems is restricted to authorised staff. No system is perfectly secure; if we become aware of a breach that affects your personal information we will notify you and the Information Regulator as POPIA requires.

7. Your rights

You may ask us to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate or out of date.
  • Delete your personal information, or object to its processing, where we have no overriding lawful reason to keep it.
  • Withdraw consent where processing is based on consent (for example, an enquiry you no longer wish us to follow up).
  • Stop sending you notifications: every notification type can be switched off in your notification settings.

To exercise these rights, contact us at the address in section 10. We may need to verify your identity first. You also have the right to lodge a complaint with the Information Regulator (South Africa) at inforeg.org.za, or with your local supervisory authority if the GDPR applies to you.

8. Cookies and local storage

FlockPulse uses only the cookies it needs to work: a session cookie that keeps you signed in, a security token that protects forms, and your language choice. On the homepage, the pricing view you pick (currency and billing period) and your recent searches inside the application are stored in your browser's local storage and never sent to us.

We use Google Analytics to understand how the website and application are used — which pages are visited and which features are used. Google Analytics sets its own cookies (such as _ga) and processes pseudonymous usage data and your approximate location on our behalf. We never send it your name, e-mail address or farm records. We do not use advertising cookies.

9. Children

FlockPulse is a business tool and is not directed at children under 18. We do not knowingly collect personal information from children.

10. Contact and changes

Questions, requests and complaints: hello@flockpulse.app, or write to [Operator legal name], [postal address]. Our Information Officer is Charle Kotze.

We may update this policy from time to time. The date at the top shows the current version; material changes will be announced inside the application.
